Overview

CivicMeetings.us is a service of NavigateTomorrow, Inc. This policy describes what information we collect when you use our service, how we use it, and your rights regarding that information.

We do not sell personal information to third parties. We do not use personal information for advertising. Our purpose is to help small municipalities publish accessible public meeting records, and our data practices are limited to what is necessary for that purpose.

Information We Collect

Account and contact information

When you sign up, we collect your name, email address, organization name, and title. We use this to create and manage your account and to communicate with you about the service.

Payment information

Payments are processed by Stripe. We do not store credit card numbers or bank account details on our servers. We retain records of transaction amounts and dates for accounting and support purposes.

Meeting records and uploaded content

You upload agendas, minutes, documents, and video files to publish through the service. This content belongs to your organization. We store it on your behalf to make it accessible to the public through your dedicated page.

Usage data

We collect basic information about how the service is used — pages visited, features accessed, and error logs. This helps us identify and fix problems. We do not build behavioral profiles or share this data with advertisers.

Communications

If you contact us by email or submit a support request, we retain that correspondence so we can follow up and maintain a record of the issue.

How We Use Your Information

  • To provide, maintain, and improve the service
  • To send account-related notices (receipts, renewal reminders, important service updates)
  • To respond to support requests
  • To comply with legal obligations

We do not send marketing email without your consent, and you can opt out at any time by replying to any email or contacting us at hello@civicmeetings.us.

Third-Party Services

We use a small number of third-party services to operate the platform:

  • Stripe — payment processing
  • Google Workspace — internal email and documents
  • Cloudflare — content delivery and security
  • Backblaze or AWS S3 — file storage

Each of these providers has their own privacy policy. We select providers that meet reasonable data protection standards and limit their access to what is necessary for the services they provide.

Data Retention

We retain your account information and meeting records for as long as your account is active. If you cancel, we retain your data for 90 days so you can export everything before it is deleted. You may request deletion at any time by contacting us.

We retain payment records as required by law (typically seven years for accounting purposes).

Security

We use HTTPS for all data in transit and encrypt sensitive data at rest. Access to production systems is limited to staff who require it. We review our security practices regularly.

No online service can guarantee absolute security. If you believe your account has been compromised, contact us immediately at hello@civicmeetings.us.

Your Rights

You may request a copy of the personal information we hold about you, ask us to correct inaccurate information, or ask us to delete your information. To make any of these requests, contact us at hello@civicmeetings.us. We will respond within 30 days.

Children

This service is intended for use by government administrators and organizational staff. We do not knowingly collect information from children under 13.

Changes to This Policy

If we make material changes to this policy, we will notify account holders by email before the changes take effect. The effective date at the top of this page reflects the most recent revision.
