Agreement
These Terms of Service govern your use of CivicMeetings.us, a service provided by NavigateTomorrow, Inc. ("we," "us," or "our"). By purchasing or using the service, you agree to these terms on behalf of your organization.
If you are entering into this agreement on behalf of a municipality or other governmental body, you represent that you have authority to bind that organization to these terms.
The Service
CivicMeetings.us provides a hosted platform for publishing accessible public meeting records, including agendas, minutes, supporting documents, and video. The service includes document templates, a compliance checklist workflow, and a dedicated public-facing page for your organization.
We do not provide legal advice or guarantee that use of the service will satisfy your specific legal obligations under the ADA, WCAG, or any applicable state or federal law. The service is a tool to support your compliance efforts.
Your Account
You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account. Notify us promptly at hello@civicmeetings.us if you believe your account has been compromised.
You may designate staff members to access the account. You are responsible for their use of the service.
Payment Terms
Pricing is as stated on our pricing page at the time of purchase. One-time payments are due at purchase. Monthly maintenance plan charges are billed on the same day each month.
All payments are processed through Stripe. We do not store payment card information.
One-time setup fees are non-refundable after your account has been provisioned and you have received access to the system. If you have not yet accessed the system, contact us within 7 days of purchase to request a refund.
Monthly maintenance plan subscriptions may be cancelled at any time. Cancellation takes effect at the end of the current billing period; no partial-month refunds are issued.
Your Content
You retain ownership of all content you upload to the service — agendas, minutes, video files, and supporting documents. We do not claim any rights to your content beyond what is necessary to provide the service (storing, displaying, and delivering your content to the public).
You represent that you have the right to publish the content you upload and that doing so does not violate any law or third-party rights.
Public meeting records published through the service are visible to anyone with the link. This is the intended use of the service.
Acceptable Use
You may use the service only for its intended purpose: publishing public meeting records for a government body or nonprofit organization. You may not:
- Use the service to publish content that is false, defamatory, or unlawful
- Attempt to access accounts or systems that do not belong to you
- Use the service in any way that disrupts its operation or the access of other customers
- Resell or sublicense access to the service without our written consent
Service Availability
We aim to keep the service available at all times, but we do not guarantee uninterrupted access. We will notify customers in advance of scheduled maintenance and will work to minimize unplanned downtime.
Public records pages are hosted on infrastructure designed for high availability. Administrative access (uploading content, managing the account) may be temporarily unavailable during maintenance.
Termination and Data
You may cancel your account at any time by contacting us at hello@civicmeetings.us. After cancellation, your content remains accessible for 90 days so you can export everything. After 90 days, your account and all associated content are permanently deleted.
We may suspend or terminate accounts that violate these terms. In cases of suspected illegal activity, we may suspend access immediately and without notice.
Limitation of Liability
To the fullest extent permitted by law, NavigateTomorrow, Inc. shall not be liable for any indirect, incidental, or consequential damages arising from your use of the service, including any regulatory penalties, fines, or legal claims related to your organization's compliance status.
Our total liability to you for any claim arising from the service shall not exceed the amount you paid us in the 12 months preceding the claim.
Governing Law
These terms are governed by the laws of the State of Indiana, without regard to its conflict of law provisions. Any disputes shall be resolved in the courts of Indiana.
Changes to These Terms
We may update these terms from time to time. We will notify account holders by email at least 30 days before material changes take effect. Continued use of the service after that date constitutes acceptance of the updated terms.
